ProductThe Florida A&M University Arena serves as an event center and sports venue for the university and Tallahassee community. FAMU Clock, the timesheet app, strives to help the arena staff with timekeeping and event scheduling.

Problem

The events department of the Florida A&M University (FAMU) struggles with scheduling and recording timesheets.

Research & Ideation

USER RESEARCH

I conducted user interviews and created empathy maps to understand the users I was designing for and their needs. A primary user group works at the event center and wants to choose their schedule.

The two different users had different pain points. The first user is more concerned about flexibility. In contrast, the second user is more concerned about accuracy.

The manual method of timesheets for work is stressful, and there is a need for digital means.

The current mode of timesheet operation causes errors, and a timesheet app will be a better alternative.

Event staff prefers to choose the days they are available to work, view updates on their phones, and update their schedule without calling managers or waiting for an email.

The event manager would like a system where it is easy to create schedules and track time in one place through an app.

Starting the Design

PAPER WIREFRAMES

Taking the time to draft iterations of each app screen ensured that the elements that made it to digital wireframes would be well-suited to address user pain points. For the home screen, I prioritized a quick and easy punch process to help users save time.

Stars were used to mark the elements of each sketch that would be used in the initial wireframes

DIGITAL WIREFRAMES

As the initial design phase continued, I made sure to base screen designs on feedback and findings from the user research.

Accuracy and flexibility are some of the pain points discovered during the user research, and they are to be addressed through the designs by providing maps and accessibility to the notification function

LOW-FIDELITY PROTOTYPE

The low-fidelity prototype connected the primary user flow of creating a schedule and punching in and out of a shift, so the prototype could be used in a usability study with users

USABILITY STUDIES

FINDINGS

I conducted two rounds of usability studies. Findings from the study helped guide the designs, from wireframes to mockups. The second study used a fidelity prototype and revealed what aspects of the mockups needed refining.

Refining the Design

MOCKUPS

Hierarchy played a major part in the arrangement of the buttons. The punch button should be first as it is the most used. To ensure accessibility, I moved it to the top. I also revised the button to cover the width of the screen.

Humans make mistakes, so schedules can be modified as needed. I added an edit option to schedules to allow users to make corrections to their schedules.

Some staff are flexible, while others prefer a structured timeframe.

MOCKUPS

HIGH-FIDELITY PROTOTYPE

The final high-fidelity prototype presented the user flow for punching and scheduling. It also meets user needs for making edits to schedules.

ACCESSIBILITY CONSIDERATIONS

Provided access to users who are vision impaired through adding alt text to images for screen readers.

Used icons to help make navigation easier.

What I learned

While designing the timesheet app, I learned that the first ideas for the app are only the beginning of the process. Usability studies and peer feedback influenced each iteration of the app’s design.
